Contract for Hiring the
Hall, Meeting Room and Kitchen
Introduction:
The Spreyton Village Trust welcomes you to our Village Hall. The original
building, a former Ministry of Defence hut, was erected in 1952. The present
building was opened in June 2002, with the support of the Community Fund, and
provides the focus of social and community life for the village and surrounding
hamlets. We hope and expect that everyone who uses the Hall will take great care
to leave it in at least as good a condition as they found it. This agreement is
a binding contract between you personally, as hirer, and the Spreyton Village
Trust.
Hirer’s Responsibilities: It is the Hirer’s responsibility to ensure that
the terms and conditions of any necessary licenses and special conditions
(alcohol, performing rights, fire regulations, etc) are strictly adhered to, and
to ensure that the premises are only used for the purposes specified in the
booking contract. The premises may not be sub-let to any other user.
Damage: The Hirer will be responsible for paying for the making good of any
damage to the hall, its fixtures, fittings, furniture and equipment and
surrounding grounds caused during the hire period.
Animals: Please note that for Health and Safety reasons no animals are
allowed in the hall
License to sell alcohol: The Hirer will be responsible for obtaining a
license to serve alcohol if alcoholic drinks are to be sold on the premises,
whether for cash or by inclusion in the ticket price.
Fire Regulations: The Hirer will be responsible for ensuring that the number
of 200 people standing (150 people seated) in the Hall and 40 people in The
Meeting Room is not exceeded at any one time. The Hirer is responsible for
knowing how many people are on the premises at any given time.
Smoking and Drugs: The use of any illegal drugs is strictly prohibited, both
in the Hall and its surrounding areas. Please note that the law now requires
that no smoking be permitted in any part of the premises. It is the
responsibility of the hirer to ensure compliance with this requirement`
Footwear: The Hirer will ensure that no footwear is worn that may cause
damage to the floor, (e.g. stiletto heels, nailed boots, etc).
Noise: The Hirer will be responsible for ensuring that the noise levels are
maintained within environmental health guidelines, i.e. noise shall not emanate
from the premises such as to cause people in the neighbourhood to be
unreasonably disturbed. Additionally, music of any kind is prohibited after
11.45pm on Saturdays and 1.00am Monday to Friday, unless a licence is requested
from the Trust Chairman in advance. The Hirer is asked to ensure that all
persons attending the function show due consideration to those living in the
vicinity of the Hall by leaving the premises quietly.
Completion of Hire: The Hirer will be responsible for ensuring that the Hall
is vacated at the end of the hire period, that a written notice of any breakages
or damage is given to the Caretaker, and that the Hall is left in good
condition. All crockery and cutlery must be clean and tidy and put away, as
found. All tables and chairs are to be wiped clean and stacked as found. All
kitchen surfaces and cooking equipment must be left clean, floors swept, heating
and lighting switched off. All used tea towels should be left drying in the
kitchen. All refuse removed from the premises and stored outside, and all
lavatories flushed. All windows and doors must be closed and locked. Cleaning of
the Hall must be completed at the end of the hire period. The key must be
returned to the Caretaker.
Public Liability Insurance: In the event of any accident the Hirer must
provide full details in writing to the Trust Chairman within 24 hours. Details

Payment: An invoice will be dispatched when the completed booking form is
returned. A booking will only be guaranteed when the full payment (including
deposit if required) has been received.
Deposit: A deposit of £50.00, to be paid separately, will be required for
all party/dance/business bookings. This will be returned within 14 days, less
any deductions for breakages or damage, after inspection of the Hall on
completion of hire.
Return of Keys:
At the end of the hire period the keys must be returned in person to the
Caretaker, Mr Clifford Elston, 3 Cross Meadow, Spreyton, Crediton, Devon EX17
